This policy explains what personal information Business Profile Pro collects, how we use it, who we share it with, and the choices you have.

In plain English

1Who we are and what this policy covers

This Privacy Policy applies to personal information collected by Business Profile Pro (“BPP”, “we”, “us”), operated by [Legal entity name], [Address], when you visit businessprofilepro.com, contact us, sign up for a trial or plan, use our client portal or software, or receive messages from us (together, the “Services”).

It does not cover how our clients handle the information they collect from their own customers. If you are a customer or contact of one of our clients, please read that business’s privacy notice. For how we handle that information for our clients, see section 6.

Our Terms and Conditions also apply to your use of the Services.

2Information we collect

Information you give us

  • Contact details: your name, email address, phone number, and business name and address.
  • Business details: your website, social media pages, logo, photos, services, hours, prices and other materials you share so we can do the work.
  • Account and plan details: your login, plan, preferences, and the messages and files you send us.
  • Form and signup information: information you enter into our forms, signup pop-up, quote or audit requests, or surveys, including when you give us your email address to get updates or resources.
  • Payment information: when you pay, our payment processor, Stripe, collects your card or bank details. We receive limited information such as the card type, the last four digits, the billing name and postal code, and the status of your payments. We do not store full card numbers.
  • Communications: emails, texts, chats, support requests, and call notes or recordings if you speak with us [Confirm whether calls are recorded].

Information collected automatically

  • Device and usage data: IP address, browser and device type, operating system, pages viewed, links clicked, time spent, referring site, and approximate location based on IP address.
  • Cookies and similar technologies: as described in section 4 and in our Cookie Policy.

Information from other sources

  • Platforms you connect: when you give us access to services such as Google Business Profile, Facebook, Instagram or your website, we receive the information those accounts make available to us, such as page insights, reviews, messages and account details.
  • Service providers and partners: for example payment processors, analytics providers, and advertising platforms that tell us how our ads and campaigns perform.
  • Public sources: publicly available information about your business, such as your website, business listings and reviews.

We do not intentionally ask for sensitive information such as government ID numbers, health information, or bank account logins. Please do not send us this information unless we ask you to for a specific, lawful purpose.

3How we use information

We use personal information to:

  • provide, run and support the Services, create and manage your account, and do the work you hire us for;
  • process payments, send receipts, and manage trials, renewals and cancellations;
  • communicate with you about your account, projects, support requests, security alerts and changes to our terms;
  • send you marketing messages and updates by email or text where you have agreed or where the law allows, and let you opt out at any time;
  • measure and improve our website, Services, marketing and customer experience;
  • personalize content and recommend features or plans that may help your business;
  • detect, prevent and respond to fraud, abuse, security issues and technical problems;
  • comply with laws, respond to legal requests, and enforce our terms; and
  • with your instructions or consent, for other purposes we tell you about when we collect the information.

Where the law requires a legal basis (for example, if you are in the UK or EU), our bases are: performing our contract with you, our legitimate interests (such as running and securing our business and improving our Services), your consent (such as for some cookies and marketing), and our legal obligations.

4Cookies, analytics and similar technologies

We and our service providers use cookies, pixels, local storage and similar tools to keep our site working, remember your choices, understand how the site is used, and measure marketing. The tools we use may include website analytics, advertising and conversion pixels, a signup pop-up, a chat or booking widget, and embedded video. [Confirm the exact tools in use and list them in the Cookie Policy.]

You can control cookies through your browser settings and through any cookie choices we offer on the site. If your browser sends an opt-out preference signal, such as Global Privacy Control, we will treat it as a valid request to opt out of the sale or sharing of your information where required by law [Confirm technical support for this].

Details and choices are in our Cookie Policy.

5How we share information

We do not sell your personal information for money [Confirm]. We share information as follows:

  • Service providers. Companies that help us run the business and deliver the Services under contract, such as our software platform and its technology providers, payment processing (Stripe), web hosting and security, email and text message delivery, telephone carriers, analytics, customer support, scheduling, and AI service providers. They may use the information only to provide services to us and under confidentiality terms.
  • Platforms you ask us to work with. For example, we share the information needed to publish your posts or run your ads on Google, Meta or other networks, according to your instructions. Those platforms handle information under their own privacy policies.
  • Advertising and measurement partners. If we use advertising or conversion tools on our own website, they may receive limited information like cookie IDs, device data and the pages you visited. In some states this may be called “sharing” for targeted advertising. See section 14. [Confirm whether such tools are used.]
  • Professional advisers. Lawyers, accountants, insurers and other advisers who need the information to advise us.
  • Legal and safety reasons. If we believe we must disclose information to follow the law, a court order or valid legal request, to enforce our agreements, or to protect the rights, property or safety of us, our clients or others.
  • Business changes. If we are part of a merger, sale of assets, financing or reorganization, information may be transferred as part of that deal, and we will require the new owner to honor this policy or tell you of any change.
  • With your consent or at your direction.

We may share aggregated or de-identified information that cannot reasonably be used to identify you.

6Information we handle for our clients

Many of our Services are used by businesses (our “clients”) to communicate with their own customers, leads and contacts. Our clients may put contact details, messages, chat and call transcripts, call recordings, appointment details, reviews and form submissions into our software. We handle this information on the client’s behalf and under their instructions, as a service provider (or “processor”).

The client decides what to collect and why, and is responsible for giving notices, getting consent where required, and answering requests from its customers. If your information is in a client’s account and you want to access, correct or delete it, please contact that business directly. If you contact us, we will tell you we cannot respond directly, or we will pass your request to the client, unless the law requires otherwise.

We use this information only to provide the Services to the client, to keep the Services secure, and as the law allows. We do not use it for our own marketing. See the Data Processing Summary.

7Text messages (SMS)

If you give us your mobile number and agree to receive texts, we may send you messages about your account, appointments, support, and, if you opted in, marketing. Our SMS Terms explain the program in detail.

  • Opt out: reply STOP to any text to stop receiving messages from that number. You may get one last message confirming your choice.
  • Help: reply HELP, or contact us at [legal@email].
  • Costs: message and data rates may apply.
  • Consent is not required to buy anything from us.

We do not share mobile numbers, or text messaging opt-in data and consent, with third parties or affiliates for their marketing or promotional purposes. [Confirm: this statement is commonly required by carriers.]

8Email

We send service emails (such as receipts and security notices) and, where permitted, marketing emails. Every marketing email includes an unsubscribe link. If you unsubscribe, we will stop marketing emails but may still send you messages about your account and legal notices.

9Calls and recordings

[Confirm: whether BPP records calls or uses AI to take notes on sales or support calls. If yes, describe it here.] If we record or transcribe a call, we will tell you at the start of the call where the law requires it. If you use call features of our software, you are responsible for notifying and getting consent from the people you call, as described in our Terms.

10Artificial intelligence and your information

We use AI tools to help provide the Services, for example to draft content, run AI bots that answer chats, texts and calls for our clients, and summarize conversations. To do this, the content you or your customers enter may be processed by AI service providers acting for us.

We choose providers and settings that, to our knowledge, do not use your content to train their general models [Confirm provider terms]. We do not use client content to train our own AI models [Confirm]. We ask you not to put sensitive information, such as government ID numbers, payment card numbers or health details, into AI tools.

We do not use AI to make decisions about you that have legal or similarly significant effects without a person being involved. More information is in our AI Use Policy.

11How long we keep information

We keep personal information only as long as we need it for the purposes in this policy, including to provide the Services, meet legal, tax and accounting duties, resolve disputes and enforce agreements.

  • Account and billing records: [retention period: confirm, for example the life of the account plus 7 years for tax and accounting].
  • Marketing contacts: until you unsubscribe or ask us to delete them, or until [period] of inactivity [Confirm].
  • Client data held for clients: for as long as the client’s account is active and, after it ends, for [30 to 90 days] unless the client asks us to delete it sooner [Confirm].
  • Website analytics data: [retention period: confirm].

Backups can take additional time to be overwritten. When we no longer need information, we delete it or make it anonymous.

12How we protect information

We use reasonable administrative, technical and physical safeguards, such as encrypted connections (HTTPS), access controls, and the security measures of our hosting and software providers. [Confirm any additional measures you can truthfully describe, such as two-factor authentication.]

No method of sending or storing data is completely secure, so we cannot promise absolute security. Please use a strong, unique password and keep your login details private. If we learn of a breach that affects your personal information, we will notify you and the authorities as the law requires.

13Your choices

  • Marketing emails: click “unsubscribe” in any marketing email.
  • Texts: reply STOP.
  • Cookies: change your browser settings or use any cookie controls on our site.
  • Access, correction and deletion: email [legal@email]. We may need to verify your identity first.
  • Account information: you can update much of your information in your account or by contacting us.

If you ask us to delete information we need to provide the Services you are paying for, we will delete it when we no longer need it for that, and as the law allows.

14Your US state privacy rights

Depending on where you live, such as California, Colorado, Connecticut, Virginia, Texas, Oregon, Utah and other states with privacy laws, you may have some or all of these rights, subject to exceptions:

  • to know and access the personal information we hold about you, and get a copy;
  • to correct inaccurate personal information;
  • to delete personal information we collected from you;
  • to opt out of the “sale” or “sharing” of personal information, and of targeted advertising and certain profiling;
  • to limit the use of sensitive personal information where we use it beyond what the law allows without choice [We do not intentionally collect sensitive personal information, other than account login and payment details handled to deliver the Services: confirm]; and
  • to not be treated unfairly for using your rights.

California (CCPA/CPRA)

In the past 12 months we may have collected these categories of personal information: identifiers (name, email, phone, IP address); commercial information (plan and purchase records); internet or electronic network activity (site usage); geolocation (approximate, from IP); professional or business information; communications; and inferences drawn from the above to personalize our marketing. We collect them from you, your devices, our service providers and platforms you connect. We use and disclose them for the business purposes in sections 3 and 5, including to service providers.

We do not sell personal information for money. Some of our website cookies and pixels may count as “sharing” for cross-context behavioral advertising under California law [Confirm]. If so, you can opt out through our cookie choices or by emailing [legal@email] with the subject “Do Not Sell or Share”. California residents may also ask about disclosures to third parties for their direct marketing under the “Shine the Light” law.

How to make a request

Email [legal@email] or write to [Address]. We will confirm your request, verify your identity by matching information you give us with what we hold, and respond within the time the law allows (generally 45 days, extended once if reasonably needed). You may use an authorized agent, who must give us written permission. If we deny a request, you may appeal by replying to our decision and asking for an appeal, and we will respond in writing within the time the law requires. Where the law allows, you can then contact your state attorney general.

Nevada

Nevada residents may ask us not to sell certain information. We do not sell personal information as defined by Nevada law [Confirm]. Send requests to [legal@email].

15Children

Our Services are for businesses and are not directed to children. We do not knowingly collect personal information from anyone under 18 [Confirm; confirm if you prefer 13 or 16]. If you believe a child has given us personal information, please email [legal@email] and we will delete it.

16International users

We are based in the United States, and our Services are directed to businesses in the United States [Confirm]. If you use the Services from outside the US, your information will be transferred to, stored and processed in the United States, where privacy laws may differ from those in your country. [Confirm: if you intentionally serve customers in the UK or EU, add GDPR/UK GDPR language including the transfer mechanism and a representative, with an attorney.]

17Links to other sites

Our site and our messages may link to websites and services that we do not control. We are not responsible for their privacy practices. Please read their policies.

18Changes to this policy

We may update this policy from time to time. We will post the new version with a new “Last updated” date, and if a change is material we will tell you by email or on our site before it takes effect, where required by law.
